Zoho CRM CSV Import Checker
CRM Import-Ready Contact Cleanup
Want the whole file cleaned? We fix emails, phones, names and duplicates and return an import-ready CSV. $9 per 500 rows.
A Zoho CRM import that skips half your rows usually fails for a reason you could have seen in the file: a missing mandatory value, a blank stretch in the middle of the sheet, or a file over the size limit. Load your CSV below and the checker runs the file rules from Zoho's own help page before you upload anything to Zoho. The check runs in your browser, so the file never leaves your computer.
Zoho CRM CSV import checker
Upload or paste the CSV you plan to import into a Zoho CRM module. The checker tests it against the file rules in Zoho's import help page: header row, empty rows, 500-column limit, 25 MB size, your edition's row limit and the mandatory columns you list, and it flags bad emails and duplicate emails.
Your file is read in your browser with JavaScript. Nothing is uploaded or sent anywhere, and nothing is stored after you close the page.
The Zoho rules this checker uses
All of these come from Zoho's help page for the current import tool (source: https://help.zoho.com/portal/en/kb/crm/data-administration/import-data/articles/import-data-into-a-crm-module):
- File types and size: CSV, XLS, XLSX and VCF (VCF only for Leads, Contacts and Users). The maximum size of each import file is 25 MB.
- Row limits by edition: Free 1,000, Standard 20,000, Professional 50,000, Enterprise 100,000 and Ultimate 200,000 rows per file. Pick your edition in the tool.
- Columns: up to 500 columns per file, and the first row must hold column names, not data values.
- Mandatory fields: records with missing mandatory fields will not be imported. Zoho suggests finding yours by opening a new record in the module and clicking Save to see which fields it warns about. Type those field names into the Required columns box.
- Empty rows: if more than 10 consecutive rows are empty, Zoho treats it as the end of the file and rows after them are not imported.
- Tags and multi-select picklists: separate several tags with commas and several picklist values with semicolons.
How to use the result
- Fix every line in the summary, starting with missing mandatory values and empty rows.
- Download the file with the extra
import_checkcolumn, filter it to the rows that have a note, and fix those. - Delete the
import_checkcolumn before you import. - Zoho recommends working on a copy of your file and importing a small subset first, so you can fix problems before the larger import (source: https://help.zoho.com/portal/en/kb/crm/data-administration/import-data/articles/import-data-into-a-crm-module).
Adding vs updating records
Zoho lets you add new records, update existing ones, or both. Its help page says added records can be undone, but updates to existing records cannot be reverted (source: https://help.zoho.com/portal/en/kb/crm/data-administration/import-data/articles/import-data-into-a-crm-module). If you are updating, we suggest exporting the affected records first so you have a copy of the old values.
Zoho can also prevent duplicates when adding records if you pick a unique CRM field; rows with matching values already in the CRM are skipped (source: https://help.zoho.com/portal/en/kb/crm/data-administration/import-data/articles/import-data-into-a-crm-module). This checker separately flags emails repeated inside your own file, which you should resolve before you upload.
What the checker cannot see
It does not connect to your Zoho account, so it cannot know your layouts, picklist values or lookup records. Check picklist values and lookup columns against your account by hand.
FAQ
Which column names should I list as required?
The mandatory fields of the module and layout you are importing into, using the header names in your file. We prefill Last Name as an example; replace it with your own list.
Is my file uploaded?
No. The file is read by JavaScript in your browser. Nothing is sent to us or anyone else, and nothing is kept after you close the tab.
